Manage vehicle fleets and maintenance

Do you manage company fleets?

With the "Fleet Management" app, keep track of your vehicle fleets and plan maintenance.

Find out the status of your vehicle fleet at any time, and keep track of maintenance operations to be carried out.

Activating the app adds "Vehicle fleet" menus and a "Maintenance schedule" menu to the "Production" tab of your application. They allow you to :  

  • Define the company fleets for which you manage vehicles
  • Plan and monitor maintenance operations
  • Edit linked documents

1. Park definition

From the "Fleet" menu, create your fleets.

Add :

  • Park name
  • Customer
  • Third-party payer
  • Fleet equipment list

2. Fleet vehicles

For each fleet, add managed vehicles by clicking on the "+ vehicle" link. 

Complete the form with : 

  • Vehicle reference = registration 
  • Vehicle type: e.g. Volvo truck 
  • Geographic site: choose a third-party address
  • Serial number
  • Date of manufacture
  • Recommended speaker
  • State (in park, out of park)
  • Park entry and exit dates
  • Mileage

You can also import vehicles en masse. Fleets, third parties and equipment will be created by the import. 

3. On-board equipment

In the "Equipment" block, list the vehicle's equipment (e.g. air conditioning, tailgate, etc.). 

  • Each piece of equipment can have a serial number, date of manufacture, etc. 
  • Each piece of equipment can have its own maintenance schedule

4. Maintenance contract

Assign a maintenance contract to each of your fleets, so you can automatically plan maintenance tasks and find them in your schedule.

In the parks, a "+ contract" link allows you to produce a maintenance contract and in the "Contract type" field to automatically create maintenance tasks: 

  • Monthly
  • Quarterly
  • Half-yearly
  • Annual

When your contract is validated, the application automatically generates your maintenance tasks for the contract period, based on the start and end dates given in your contract.

This planning is visible :

  • In your diary
  • On your contract
  • And, in the "maintenance planning" menu 

5. Maintenance schedule

In the Production menu, you'll find the new "Maintenance schedule" menu. It groups together the next maintenance tasks to be carried out. You can view this schedule for each vehicle, or for each fleet. 

6. Maintenance booklet 

On each vehicle, a "maintenance log" link allows you to generate a report with equipment information and a list of operations carried out: operations, dates, costs, etc.
