Schedule automatic actions

Would you like to trigger actions based on the status of your objects? Would you like to notify team members or external parties when something happens to your management data? 

With the "Automation" app, automate the triggering of actions on your application

Combine emailing and text messaging to alert the right people, depending on the urgency of the situation

Installing the app allows you to : 

  • Trigger actions (sending emails, SMS messages, etc.) based on the status of your objects
  • Select action recipients
  • Choose the non-execution conditions: a new option has been added, "do not execute if the field has changed".
  • View scenario progress in the "Automation" tab

1. Create your scenarios

To create your scenarios, go to an object's "Automation" tab and click on "+Scenario". Alternatively, go to the app's home page and click on "+Scenario". 

Choose the stage your scenario concerns. This stage will depend on the object concerned: campaigns, quotes, delivery notes, invoices, business, tasks, production files, etc.

This takes you to the scenario editor. Select :

  • The action to be performed: send e-mail, send SMS. Depending on this choice, the content form to be entered is displayed
  • A condition for application of the
  • A condition of stage cancellation
  • Date of execution

Reproduce if your scenario includes several stages

2. Run your scenarios

Click on "Activate" to start running your scenario.

Any object entering the designated state triggers the creation of the scenario, which can be found in the "Automation" tab of the object concerned.

3. Example of use

If you have a stage on an object that you want to leave as quickly as possible. For example, "Salesperson not assigned" on a case, simply create a scenario with :

  • Sending an e-mail 5 minutes after arrival in the stage
  • A second e-mail is sent 2 hours after arrival in the stage.
  • SMS sent 6 hours after stage finish

For each of these actions, check the box "do not execute if the field has changed".

Thus, in the first six hours of arrival in the stage, two e-mails and one SMS will be sent in sequence, unless someone changes the stage to the next one, for example "Quotation in progress".
