When selling goods or services, do you ask your customers for a deposit?

Use the "Down payment invoices" app to record the payment of down payments received on order! 

Automatically transfer the deposit to a final invoice

Installing the app adds a new "deposit invoice" function to the application.

To create a down-payment invoice, you need to draw up a quotation. 

Since a down payment can only be made following a valid sales proposal, incwo will invoice the down payment on the basis of a customer document confirming a sales commitment.

The value of this proposal will be used to calculate the customer's share of the down payment.

1.Create a down-payment invoice :

From a quote, sales order or order confirmation, click on the "Make a deposit invoice" link.

A new page is displayed

  • Designate the percentage of the down payment by selecting the down payment rate.
  • Indicate the method of payment and designate the deposit bank.
  • Click on "Make document" to create the down payment document

On the down-payment invoice generated, in the "Incoming payments" block, the value of the payment received is automatically indicated. 

Check and validate the document to create the final down-payment invoice to be sent to the customer.

2. Create final invoice for deposit paid

The down-payment invoice is a proof of payment made before the goods or services are produced.
It is therefore not sales and does not symbolize the invoicing of the sale of goods or services.

Eventually, you'll have to draw up the final invoice for the sale, which will take into account the deposit payment.

To generate the final invoice for the deposit, go to : 

  • Either on the down-payment invoice, and click on "make an invoice".
  • Either on the quotation, order or order confirmation: by clicking on "Make an invoice" and selecting the percentage of the invoice to be issued.
  • Or by clicking on "Make a deposit invoice", only if you wish to issue an invoice for 100% of the estimate.

The operation then generates an invoice #REF#.

Upon validation of this sales invoice :

  • The deposit is applied to the invoice and deducted from payments due (up to the amount of the invoice, if partial).
  • The mention of VAT already paid by the down-payment is displayed on the invoice PDF.
