3. Payment of supplier invoices
**************************
From any purchase registered in incwo, you can initiate a transfer directly.
This system allows you to pay your suppliers via your Qonto account, directly from incwo, without going through your banking interface.
The transfer order requested on incwo is sent to Qonto in just one click, and your supplier is paid.
To perform this supplier payment function on your purchases, you must :
- Set the beneficiary's IBAN on the third-party record. To do this, go to your supplier's company file, click on "modify" and complete his IBAN in the "Bank details" block. Save. Then start beneficiary verification with Qonto.
- Have defined a payment schedule for the purchase to identify the amount to be paid and the term that triggers a transfer.
- Have linked your Qonto bank account to the purchase.
To send a transfer order :
- On a particular purchase: click on the green button at the top of the purchase "pay with Qonto".
- On a purchase due date, same due date at 100%: click on the "pay with Qonto" link
- On a list of purchases to pay for, click on the "pay with Qonto" link.
Clicking on "Pay with Qonto" displays the contents of the order to be triggered: Amount, Bank account, Recipient (by default, the purchase item is included) and Beneficiary. If you have several pro Qonto accounts, you must select the one to be used for supplier payment. By default, the one designated on the purchase is taken into account.
Check the transfer order, validate it by clicking on "Save" and then launch your SEPA Transfer by clicking on "Execute".
Your order is then sent on the current date.
4. Automatic transaction upload and reconciliation
**************************
Your Qonto banking transactions are automatically uploaded to incwo, in the "Pro Account" menu located in the "Finance" menu.
This page displays a list of your Pro Qonto accounts, along with a list of associated transactions and account balances.
On the block corresponding to each Pro Account :
- Clicking on a transaction name takes you to its file for reconciliation.
- Clicking on the "Transactions" link displays all the latest transactions to be reconciled with your sales and purchase invoices.
5. Automatic reconciliation for purchases paid for with Qonto
**************************
If you have paid for a purchase using the "Pay with Qonto" link directly from incwo: reconciliation is automatic.
In fact, when the payment is made, the disbursement is automatically added to the purchase
. This disbursement is then marked "Seen on account", as soon as the transaction is uploaded to incwo.
6. Receipt collection
**************************
Receipts (receipts, PDF supplier invoices) collected by Qonto are sent back with the transactions.
On your transaction list, if a proof of purchase is brought up by Qonto, you will then have an attachment associated with the transaction.
If you consult this attachment, you can detach it from the transaction and attach it to the purchase.
Your receipt is then transferred to the purchase. This is particularly useful for recurring invoices such as energy, telephone, leasing, rent or insurance. It allows you to attach the relevant supplier invoice to purchases planned in advance.
7. App settings
**************************
Three settings are available on the app:
- "Use purchase reference rather than purchase object when creating payment orders". If you select "Yes", this will use the information corresponding to the purchase numbering format you have chosen via the "Purchase numbering" app. If you choose "No", the information entered in the "object" field of the purchase will be taken into account in the transaction designation.
- Notify the user who initiated the transfer when it is transmitted to the bank". By checking "Yes", you will receive an e-mail notification named "Payment order sent", when you execute the transfer request.
- "Notify the user who initiated the transfer when it is completed or failed". If "Yes", this sends an e-mail notification named "Payment successful", to the person who executed the transfer request when the payment to your supplier is completed, or when it has failed.
