Manage your product inventory

Do you sell goods, supplies or merchandise and want to manage your inventory?

With the"Stock management" app, you can record your stock entries and withdrawals by item, and take inventory.  

Set up your warehouses to track stocks by storage zone, and set up stock alerts by product.

With the inventory management app, you'll also find the valuation indicator for your stock to date.

Activation of the app adds new fields, linked to stock settings and information, on product sheets to manage stock processing options, current stock volumes and alert stock. A "Stock" tab lets you manage and track all stock movements for an item.

Beyond that, the "Products" menu provides access to the submenus:

  • Product inventories to view stock, to date, by item and distribution by warehouse 
  • Stock movements to track entries, withdrawals, transfers and inventories to date. You'll also find related documents (invoices, associated supplier purchase orders) for traceability purposes.
  • Warehouses to define storage locations (warehouse name and address) and related goods movements

This "Products" menu also gives access to batch and serial number movements if these apps are activated on your application, as well as stock valuation, if the app is installed.

?1. Integration of starting stock

To update your stock by item you can :

  • Or import your product catalog, specifying in a "stock" column. Your stocks per imported product. The information will be integrated into the application. You can also import the stock value of each product by warehouse, by indicating in your file the stock value for warehouse 1, warehouse 2, etc. 
  • Notify the value of the current stock in your warehouse, directly on the product sheet, in the application. This action can be carried out either on the product sheet in the "stock" tab, or from the item list by clicking on the icon representing a "crate", present on each item line. A window opens, allowing you to enter the current stock value. To save the stock status, select "Inventory", and enter the number of products in stock in your warehouse. Then save to confirm.

??2. Automatic inventory control

- Updating the stock of products is done :

  • Automatically: When an estimate is converted to a delivery note, or if an invoice status setting is activated. 
  • Semi-automatically: Using the "Remove from stock" link in the shortcut block on the left-hand side of some sales documents. This link invites you to register your stock removals corresponding to the invoice, delivery note or even your preparation notes.

- Updating the stock of products is done :

  • Automatically : When a supplier's purchase order is converted into a supplier's delivery note
  • Semi-automatically : When you register receipt of the delivery corresponding to your supplier purchase order (Purchasing > Purchase orders > Delivery tracking) or via the "Enter stock" link in the left-hand shortcut block on supplier purchase orders.

Depending on your management rules, you can activate an option in the app settings to prohibit negative stock. If this option is activated, every transaction you carry out will be refused if it generates negative stock for one of the products concerned.

3. Complementary apps

To meet the needs of your business, other functions are available to enhance and optimize your inventory management.

Discover and install the following apps: 

  • Batch numbers and traceability: manage your stock's batch numbers and product traceability.
  • Serial number management: manage the individual serial numbers of your items
  • Stock control: monitor the progress of planned stock movements
  • Alert stock by warehouse: manage your alert stock for each warehouse

4. Complementary apps

Depending on your management rules, you can activate several options in the app settings: 

  • To prohibit negative stock. If this option is activated, every operation you carry out will be refused if it generates negative stock for one of the products concerned.
  • Check automatic stock movement on document conversion. If these options are enabled, then the checkbox for the choice of stock movement on document conversion will no longer be proposed and will be checked by default.
  • Select automatic de-stocking according to invoice status. This option allows you to set the invoice status to "Sent" when the invoice is validated.
  • To force automatic destocking on invoices even if no default warehouse is specified on the invoice. This allows you to force a stock movement that would not otherwise take place. 
  • To display stock by warehouse on the product list. If this setting is active, the software will display stock by warehouse rather than overall. 
  • To take into account the warehouse set on the sales document for future goods movements as a priority.
