Easily manage products with multiple options

Would you like to compose your quotations and invoices from products with multiple options? 

Would you like to save time by paying for product options just once, so that you can quickly select options on your quotations and invoices, and find the right product for each customer? 

With the Product Configurator app, quickly draw up your sales documents with options

Activating the app extends the functions of the "Compound products" and "Product declination" apps. 

It allows you to define that a component can have variants, and offers the possibility of selecting the variants of the item directly when adding the product to a quote or invoice.

Example: You sell PCs with a screen, a processor (three possible part numbers) and a keyboard (two possible part numbers). How do you do this? 

  • Your processor will be available in three versions, your keyboard in two.
  • Your PC will be a product made up of: the screen, the processor and the keyboard.

Once this product has been set up, when you call up the PC in your quotations and invoices, you can modify the processor and keyboard in one click, to obtain the desired PC. 

1. Activate the configurator for a declined product

To create variations of an item, so that you can select the right product component when drafting a sales document, install the "Product declination" app.

The "Product variations" app lets you create variations of a particular product, and select a variant for use in a quote or invoice.

Using the PC example, an item of type "Intel Processor" can be declined in i3, i5 and i7 versions.
Create an "Intel Processor" product, and create three declinations for this product, with i3, i5 and i7 processor attributes.

Installing the "Product Configurator" app adds a new field to the declination management page: "Product Configurator". Define whether to activate the configuration option for a product declination.

The product configuration option designates whether or not you allow the selection of an item variant when drawing up a quotation or invoice.

In this field, you can choose how the product should behave in relation to the product configurator.

Select :

  • "No" = this product will not be the subject of a configuration interface when creating quotations and invoices. 
  • "Yes, and this product is excluded" = the product is declined, and the top-hat product is not one of the possible configuration options. Use this, for example, if your settings are "processor" as a top-hat product and i3, i5 and i7 as declinations. 
  • "Yes" = the product is declined, and the top-hat product is one of the configuration options available when creating sales documents. For example, if your settings are "i3 processor" for the top-hat product, and i5 and i7 for the variations.

 
2. Configure your compound products with component variation.

The "Compound products" app is needed to create products with components, for which you want to call up variations of the item without your sales documents. 

Complementing this "Compound products" app, the "Product configurator" app lets you choose the variant when creating a quote or invoice.

Installing the "Product Configurator" app adds a new field to each product sheet, in the "Product Composition" block, to define how the component functions.

The field is named "This product has variations". It is displayed when a sub-product is called up in the "Product composition" block.

When adding a component, if you choose a by-product with variations that has an enabled configurator, a new interface element appears with two options: 

  • "Use this product": if you don't want to display the configurator interface and only use this item to market your finished product.
  • "Use the configurator with declinations": if you wish to display the configurator interface, allowing you to switch from one option to another and select the one being marketed

Example: for the product "PC", you would have three components: the screen (without configurator), the processor (with configurator), and the keyboard (with configurator).

3. Select an item variation in an estimate or invoice.

Once you've paid for your products, go to a quote or invoice and add an item.

# Adding a component to an estimate or invoice : 

If you select a component with a configurator, a new menu appears, allowing you to toggle between options. The tariff information is then updated.

# Adding a compound product to a quote or invoice : 

If you select a composite product with configurator, you will be able to toggle from one option to another for each component with configurator.

To do this: 

  • Unfold your product to display the components.
  • Click on the pen to change the line of a component
  • Select the component variant of your choice 

Tariff information is then updated, according to your tariff management settings in the "compound products" app.

4. Automate operation

The app's "Settings" tab gives you two default configuration options: 

  • "Enable configurator for products with variations in sales documents": if you want the components of compound products to have a configurator
  • Activate the configurator for declinations in sales documents: if you want only non-compound products to have a configurator
