With the "Batch Processing" app, you can create selections and mass-process changes in status or field values in your database.
Make selections of contacts, products, quotes, deals, etc., and change field values in just a few clicks to quickly update a set of data.
Installing the app adds mass processing capabilities to selections.
Like a script for automating actions, this app lets you :
- Make selections on an application object (contacts, quotes, deals, etc.).
- Define the modification to be made, using the "Job" concept
- Apply operation to change field values in selected objects
1. Make a selection
On each object in the application, a "selection" link is present in the top line of each object list (contact list, business list, invoice list, etc.).
Check the objects to be included in a selection, in your list of displayed objects.
Click on "Selection" and indicate whether this selection is
- To add to a current selection the list of checked objects, or all objects
- To create a new selection from the list of checked objects, or all objects
2. Create a job
Once the list has been created, you can make changes to it, i.e. create jobs. A job is an action that you program and apply to your selection.
To do this, click on the "New job" menu in the shortcut block on the selection page. Define the operation to be performed on your selection.
The jobs offered are linked to the fields accessible on each object.
For example, the following change actions are available in your product catalog:
- Export selection attachments as ZIP files. This job lets you export files attached to your selected objects.
- Modify selection data. You can modify the status of your product files (on sale or not), create supplier files, increase the purchase price or cost price of your products, by designating a % or an amount for example.
Other actions are available on quotations and invoices:
- Export selection PDFs: this job allows you to obtain the PDF versions of your quotes or invoices in a ZIP archive, in a flat folder or in sub-folders with their attachments.
3. Apply the change
Once you've selected the type of change you want to make to your object selection, click on the "start job" button to apply.
Each job is numbered and logged. So you can keep track of your modifications.
4. Setting rights
On the app, the settings tab lets you determine who is authorized to process mass modifications to app objects.
Don't forget to make this setting!
