Prohibit documents on certain third parties

Do you have customers or suppliers with whom you no longer wish to engage in new transactions? Do you want to prohibit the production of future quotations, orders, delivery notes and invoices on both the customer and supplier sides?

With the"Block third parties" app, mark a contact as "blocked" and automatically prevent your teams from creating sales documents!

A simple and effective way to secure your sales and purchasing processes and avoid errors.

 

Installation of the "Block third parties" app adds a new functionality to contact and company files. It allows you to temporarily or permanently suspend the creation of commercial documents for a given third party.

1. Activate Blocking 

To indicate that a third party should no longer be the subject of commercial documents, a checkbox entitled"Block third party" is available on each contact or company file.

By checking this box, you prohibit the creation of the following documents:

  • Customer side: quotations, order confirmations, delivery notes, invoices, credit notes
  • Supplier side: price requests, purchase orders and purchasing

And much more, depending on the business document apps installed on your app. 

If a third party is marked as "blocked", document production can no longer be established: 

  • Nor from the third-party master record 
  • Or from an object list, by creating a new document. In the third-party designation field, the blocked contact or company, if called, is not proposed. It can therefore no longer be added.

Note that any proforma, invoice to be issued or subscription invoice in progress for a blocked third party can no longer be validated as long as the block is active.

2. Deactivate Blocking 

If the restriction is temporary, you can reactivate the sales document creation function by unchecking the "Block third party" box in the relevant third-party record.

This action again allows you to generate quotes, customer invoices or supplier orders for a contact or a company.

3. Manage blocking/unblocking rights

Once the app has been installed, in the app settings tab you must designate an app manager. This can be : 

  • Administrator: User authorized to block or unblock third parties.
  • A user group: a group of users authorized to block or unblock third parties.

Please note that non-administrator users of the : 

  • View the customer's block on the third-party master record
  • Cannot change this setting on the third-party plug
  • Can no longer create documents for a third party marked as "blocked".
