Would you like to see at a glance your employees' daily workload?
Do you carry out after-sales service or interventions, and are you looking to easily reassign customer appointments to other employees or on other days, depending on their workload or your customers' requests for changes?
Use the"workload plan" app to plan your interventions and manage the work to be carried out by your teams!
Manage and monitor your employees' workloads. Draw up daily or weekly shift schedules. Control the workload according to each employee's daily capacity.
Find indicators for monitoring scheduled events: plan, end or reschedule an appointment in just one click!
Activating the app, adds a"load plan" menu in the"team" tab of your application.
This menu contains two items:
- Events or interventions programmed by you and your teams using the application's agenda and objects.
- A view of the daily workload for your entire team.
1. Interventions
The following information is displayed for each event or intervention in the list:
- Status: To be planned, Planned, Completed, Not done
- Duration
- The date
- Deadline to event date: if this is exceeded, the deadline is shown in red.
- The name of the collaborator involved in the event
- The customer's name and contact details, so that you can contact them quickly if any changes are required
This section also includes action buttons for :
- Schedule: if you wish to change the date, or assign the appointment to another member of staff, this is the link that will enable you to activate the work schedule modification and make your changes.
- Write to third party: Send a message to the contact linked to the event. If there is no contact, this link is not displayed.
- Share with third party: this checkbox enables you to post the event on your contact's Business Network. Your contact will then find a list of upcoming appointments in the appointments block of his or her private space.
Another piece of information that can be added is the notion of stacking. If you have scheduled overlapping appointments, or if you work with stacked tasks, a tag called stacking will be displayed, with a number 1, 2, 3 etc. indicating the number of overlapping events for the same collaborator in the time slot.
2. The workload schedule
In this table, for the day selected from the date drop-down menu, you can view the detailed list of schedules and events planned for each employee.
On the left, morning events, and on the right, afternoon events.
3. Modify load plan.
To reassign an event to another colloborator :
- on the event concerned, present in the "interventions" block, click on "plan". You can then modify the information in the work schedule block.
- on the line of the employee to whom you wish to assign the event, then click on the timetable
- the event and load plan are automatically updated
If you need to reallocate time to a day other than the current one displayed, you must first select the day, and click on "GO" to display the load schedule page for this new day. You can then select the schedule for the employee concerned.
