Automate the sending of appointment follow-up SMS messages

You schedule your appointments in incwo and would like to receive a reminder and automatically send one to your customers?

With the "Appointment reminders by SMS" app, confirm your appointments to your customers and automate the reminder! 

Send an appointment confirmation to your contact's cell phone, as well as a reminder the day before or on the day of the appointment.

Installing the app allows you to

  • Configure the use of SMS to automate customer appointment reminders
  • Use a checkbox to activate or deactivate the function on an event 

1. Sending configuration

Go to the app's "Settings" tab, and click on the "Settings" link. 

This page lets you set the "SMS event reminders" function.

Start by setting the sending actions: 

  • When creating or modifying an event
  • The day before the event
  • The day of the event

For each step you can : 

  • Choose whether or not to activate the SMS sending function
  • Define who will receive an SMS: the customer? you? the customer's sales manager?

The app also lets you choose the message to be sent to your customer, by selecting a template you've designed in the "documents" app. 

2. SMS content

For each new event added to the application, on a third party for example via the "time" tab, the app adds a "SMS Reminder" checkbox.

When this box is checked, the SMS sending scenario you have set up is activated.

You can also, from the "Settings" tab of the : 

  • Enable new events checkbox by default
  • Include event date in messages
  • Include event title in standard messages

If the appointment has an address, it will be recalled in the appointment.

If the appointment is shared on the web, a link will be inserted in the SMS.

3. Setting SMS numbers 

To make the most of this function, be sure to enter your mobile numbers in international format, both for the third party (customer or prospect) and for the user or sales manager.

Phone number setting : 

  • Third party: this is done in the "Phone numbers and emails" block on the customer page. If you have several numbers on the third party, define in "Preferred contact" the one to be used for sending SMS.
  • From the user or the third-party sales manager: on the user account form: "You" tab >> "Your profile" menu. On this page, you can enter the SMS number.
